How Testing Works & Postage For Clinics
HairKnowHow Testing Services are run and managed by Dr Jonathan Palmer.
We have made obtaining your client's hair results easy, fast and secure. We use only the best couriers and have optimised our processes to deliver your client's results within days.
Please Note: Upon free signup to our Clinical & Trichology services HairKnowHow will send you 10 sample retrieval envelopes initially. One HairKnowHow envelope should be used per client, but this can be for any number of individual tests. Additional envelopes can be requested free of charge.
Login to your free HairKnowHow clinic account. Select the hair analysis services you require and fill out the notes to lab questions (optional).
Select how you would like to post your client’s hair sample - either using first-class domestic shipping (for the UK) or your selected courier, e.g. UPS (US or UK).
Ensure that you note your client’s unique sample number (on the sample bag within the kit) - this ensures that your test results can be linked to the correct client within your clinic.
HairKnowHow's selected couriers (or your preferred mail supplier) then collect your client's sample, and the hair analysis is carried out.
Your client's hair data is encrypted and sent to your clinic for your client's records via your nominated email address. Passwords are emailed separately for security purposes.

Shipping and Analysis Time
We collect hair samples worldwide, including in the US and UK. Clinics typically receive their client's hair analysis data within five working days of the hair sample arriving at the HairKnowHow laboratory.
Within the UK, we offer two shipping options:
Our standard shipping is included with every test or analysis and uses 1st class Royal Mail
Please post your client samples using the HairKnowHow prepaid envelopes provided (one client per envelope / multiple tests can be fulfilled using a single envelope for one client).

For our US customers:
Client's Preferred Mail Supplier - use your preferred mail supplier for sample collection.
We recognise that many hair clinics already have established relationships with specific mail carriers, and we want to make the process as seamless as possible for you.
Select Your Preferred Mail Supplier: Choose the option to use your existing mail carrier when collecting and sending hair samples.
Package and Label as Instructed: Follow our detailed packaging guidelines to properly package and label the samples. This ensures compliance with shipping regulations and maintains the integrity of the samples throughout transit.
Please download your CN22 document (Customs Declaration Form) and Shipping Invoice Templates.
Please ensure your address and other highlighted details are correct before shipping. These documents will need to be included on the exterior of your selected courier’s packaging.

Print THREE copies of the Shipping Invoice + and ONE copy of the CN22 Customs Declaration —attach all documents to the exterior of the packaging using the transparent commercial shipping pouch (if using UPS).
Coordinate Pickup or Drop-off: Coordinate with your preferred mail supplier for the pickup or drop-off of the securely packaged samples. Remember to seal the samples tightly and apply the appropriate labels.
Track Your Shipment: Obtain a tracking number from your mail supplier to keep tabs on the progress of your samples. This allows you to monitor their journey as they make their way to our laboratory.
